Understand resource queues

What resources are, how their automatic timed queues work, and how they differ from your main queue.

A resource is a bookable item or space that belongs to your location — a study room, printer, charger, court, or any single-occupancy thing people wait for.

How a resource queue works

  • Each resource has its own QR code and its own line, separate from your main check-in queue.
  • A customer scans it and joins the wait. Their status page shows their position live, plus an honest upper-bound estimate ("your turn within ~40 min — by 3:40 PM at the latest") computed from the current reservation's remaining time and the line ahead — it can only get shorter as people finish early. The join page and resource display board show the same "join now" estimate.
  • The moment the resource is free, the next person is assigned automatically — no staff action. They get an "It's your turn" email (email is required for resource reservations by default, since it's the only way to reach someone who isn't standing there).
  • The reservation runs on a timer you configure (say 60 minutes). The customer's page shows a live countdown; when time's up the reservation ends automatically and the next person is assigned.
  • Customers can end early with I'm done — release it on their page; staff can extend, shorten, end, or mark a no-show at any time.

One shared QR for all of them (optional)

By default each resource has its own QR and its own line — someone scanning Study Room 2's code is waiting for Study Room 2. If your resources are interchangeable (three identical study rooms, four loaner laptops), an admin can also enable the shared QR on the Resources page: one entrance code that puts everyone in a single line and assigns whichever resource frees first, first come, first served. The customer's status page tells them exactly which one is theirs the moment it's assigned.

The shared code doesn't replace the per-resource codes — both work at the same time, and the queues merge fairly by arrival time (whoever checked in first is next, no matter which code they scanned). Staff can also hand a specific room to anyone in the shared line. Disabling the shared QR cancels and notifies anyone still waiting on it; the per-resource codes are untouched.

Resources vs. your main queue

Your main queue is staff-driven — people move tickets. Resource queues are fully automatic — staff set the duration and the queue manages itself. A location runs both side by side: resource reservations never appear in your main check-in board, stats, or ticket search — they have their own reservation list and reports.

Limits

Your plan sets three caps, per location: how many resources you can have, how many people can wait per resource (a hard cap — when full, new joins are politely refused), and a separate daily reservation quota shared across all your resources. Resource reservations are metered separately from your main check-in quota, so a busy resource day never eats into your walk-in limit (and vice-versa). See Plans, quotas & limits for the numbers.
